    This hands-on role works in partnership with key stakeholders across the organization – including product managers, sales, and thought leaders – to develop and execute goal-oriented event strategies designed to engage current customers, prospects and partners. While executing and managing our global trade show program will be the core of your activities, The Event Specialist will also be responsible for producing and executing company-led events, workshops and roadshows.


    This role requires strong customer focus, initiative, independent and proactive identification of opportunities and potential issues, and exceptional project management skills.  Your role will directly influence customer perceptions, experiences and lasting impressions and therefore requires exceptional interpersonal skills, close attention to detail, a dedication to quality and a high level of patience and creativity.


    The Event Specialist reports to the Associate Director of Marketing and manages the Senior Marketing Support Specialist, responsible for supporting the Event Specialist on larger events and oversees the execution of on-site seminars and event database management. The incumbent is responsible for leading, directing and mentoring direct reports. 


    Key Responsibilities:

    • Support the strategic planning and creative development of event initiatives, proactively managing all event needs from branding, agenda design, content creation, and venue selection to event execution. Strategically connect business priorities, objectives and key messages to event delivery.
    • Plan and coordinate logistics to support JMCRS exhibits and presentations at international and domestic scientific conferences and provide onsite support at most events. Establishes exhibit and event logistics plans - staffing, registration, travel, staff housing, exhibit maintenance, inventory and shipping. Locate venues, plan and market other business development/scientific events such as mini-symposiums. ​
    • Gather and track ROI, engagement analytics and feedback to consistently assess opportunities for improvement. Establish clear goals and timelines for all events and related activities, and regularly communicate updates, results, insights and recommendations to key stakeholders.
    • Track budget costs throughout the course of project and communicate scope changes that effect budget in a clear manner.
    • Manage pre-show outreach, advertising and the scheduling of one-on-one meetings at external events. During the event, ensure effective lead capture, coaching for the event team on proper data entry for leads, booth etiquette and the goals for each show and supervises event follow up. 
    • Attend all major events and many smaller events, providing support to the event team and also interacting with customers during the event. Maintain a professional and respectful demeanor at all times when interacting with conference coordinators, contractors, JMCRS staff and customer/exhibit visitors.


    • Bachelor’s degree or equivalent in Communication, Marketing, Business or the sciences and 2 years of direct experience providing conference or meeting planning support. Field sales experience preferred.
    • 5+ years of experience developing exhibit schedules, market analysis for events and campaigns, budget development
    • Extensive knowledge of event service providers and expertise in vendor negotiations/contracting procedures
    • Proven complex project management skills
    • Excellent interpersonal, communication skills
    • Exceptional computer skills including Microsoft Office Word, Excel, PowerPoint required. Familiarity with CRM (especially Salesforce) and marketing automation (Marketo) is preferred
    • Global hospitality and event planning experience
    • Excellent time management skills
    • Detail-oriented, results-driven ability to independently oversee multiple projects simultaneously and manage budgets
    • Ability to travel up to 50%, multiple weeks in a row during peak season and be accessible to support event staff as required
    • Interpersonal relationship skills sufficient to effectively deal with a wide variety of internal and external customers and personalities representing many levels of importance, sophistication and from a variety of disciplines
    • The ability to work in a high-pressure, team-oriented environment, while maintaining a high level of professionalism
